Splash Surf Cancellation Policy
How it Works:
We reserve the right to implement the cancellation policy as detailed below. For the purpose of our cancellation policy we define “days in advance” in the following way:
If you booked a lesson to take place on the 11th July cancelling 10 days or more in advance would involve you cancelling on or before the 1st July.
Cancelling 9 to 4 day in advance would mean you cancel on or between the 2nd and 7th July.
Cancelling with 3 or less days notice would mean you cancel on or after the 8th July.
Cancellation by us:
Splash Surf Centre Ltd reserves the right to cancel any session where conditions prevent safe participation or where insufficient bookings make the session un-viable.
We also reserve the right to cancel or alter a trip if;
We have encountered staffing, logistical or technical issues
We have been confronted with circumstances that are beyond our control
We will endeavour to contact you as quickly as possible once a decision has been made.
If we make the decision to cancel a booking, you will be offered the chance to rebook or have a full refund.
Cancellation by you for private lessons:
If you cancel your private lesson 14 or more full days in advance you’ll be given the option to rebook or receive a refund less deposit.
If you cancel your booked lesson 7 to 13 full days in advance you’ll be given the option to rebook or you can receive a credit note for the full amount that will be valid for 12 months less deposit.
If you cancel you booked lesson with less than 7 days notice you will not be given the option to rebook and you will not receive a refund.
Due to the staffing commitment, equipment reservations and admin work that goes into planning and booking activity weeks and surf days, we require 30 days notice in order for you to cancel your booking with us and not be charged.
If you cancel your activity week/ adventure days booking 29 to 14 days ahead of your booking, you’ll be charged 25% of your booking.
If you cancel your activity week/ adventure days with less than 14 days notice, you will be charged the full amount and no refund or credit note will be offered.
Acceptance of risk forms: Every person (students and staff) taking part in surfing must sign an acceptance of risk form. We must have a parent/ guardian sign our acceptance of risk forms for any child under the age of 18 taking part in our activities. We cannot accept teachers or leaders signing on behalf of parents/ guardians and we do not accept school written or third party forms – it must be our company specific form that are completed regardless of any internal paperwork you may have organised. All forms should be printed out and completed by parents/ guardians and then handed in to your instructors at the start of your adventure. Anyone who does not have our form completed will not be able to take part.
Cancellation policy: We hope you don’t have to cancel your booking with us but in case you do, we wanted to be clear about our cancellation policy. Due to the admin time and resources that go into large group bookings, we need 28 days notice in order for you to receive no charge for the cancelled booking. If you give 27 – 14 days notice you will be charged 25% of the original booking for the group size stated in this confirmation email. Less than 14 days notice and you will be fully charged with no option to postpone, rearrange or receive a credit note.
Group size: We know it can be difficult to give accurate group numbers at the time of booking as class sizes can change throughout the year. We are happy to book in estimated numbers but we must have final numbers at least 2 weeks in advance of your booking so we can allocate the correct number of instructors and resources. Please note, we do not require that teachers or support staff join the water sessions but any staff members planning on joining the water activities MUST be included in your final numbers as we have to include teachers & support staff in our instructor to participant ratios. Following confirmation of numbers 2 weeks in advance, we will send you your final invoice. Regrettably, we will not be able to refund for changes to numbers due to drop outs, sickness or injuries following the 14 day notice period.
Timings: The start and finish times mentioned above are when your adventures begin and finish. Please arrange to have the students dropped off and picked up 15 minutes before the start time and 15 minutes after the finish time to allow them time to get changed.
What to bring: Students should bring swimwear, shoes they can get wet like aqua shoes or old trainers (no flip flops, slides or crocs) and a towel with them every day. They should also bring a dry change of clothes, water, sun cream and a packed lunch or snack depending on the length of their booking. They are welcome to wear their own wetsuit or they can use ours free of charge.
Schedules: During the booking process, we will have discussed what activities and adventures we will include for your students during your booking. If you have booked for multiple days or a full week please note, we do not provide a specific schedule for the full week or days in advance. Weather and staffing levels can change at short notice and we are constantly adapting and updating schedules as the week and days go on. Because of this, we do not provide a breakdown of when you will be doing what activities in advance as it can frequently change and cause confusion for students, staff and instructors if there are different versions of schedules circulating.
Cancellation by you for adventure days & School activity weeks:
If you cancel your place on summer camps, half-term camps, or easter camps 30 days or more in advance, we’ll offer you a full refund minus the £50 deposit.
If you cancel your place on summer, half-term, or easter camps 30 - 14 days in advance, you’ll receive a credit note valid for 12 months minus the £50 deposit.
If you cancel your place on summer camps, half-term camps or easter camps with less than 14 days notice, we cannot offer you a refund or credit note.
